Set Up Your Email Identity in Roundcube

Want your emails to look more professional? Good news. Setting up your sender identity takes just a minute.

What is a Sender Identity?

Think of your sender identity as your email business card. It includes:

  • Display name - What people see instead of just your email address
  • Email signature - Your automatic sign-off at the end of each email
  • Organization name - Your company or business name

Instead of your emails showing up as "user@example.com", they can show "John Smith from ABC Company". Much better, right?

Setting Up Your Sender Identity

Here's the simple 3-step process:

  1. Log into your webmail - Open your browser and sign into your Site.eu webmail account
  2. Click on Settings - Look for the settings icon (usually a gear or wrench symbol) in the sidebar
  3. Select "Identities" - You'll see this option in the settings menu

Once you're there, you can change how your emails look.

Customizing Your Identity

Now the fun part. Here's what you can change:

Display Name

This is what people see first. Make it count! Use your full name. Or your business name. Like "Sarah Johnson" or "Support Team".

Email Signature

This shows up at the bottom of every email. Keep it simple.

Organization

Your company name goes here. Makes it easy for people to see who you work for.

Pro Tips for Better Email Identity

  • Keep it consistent - Use the same display name across all your email accounts
  • Less is more - Don't overload your signature with too much information
  • Test it out - Send yourself a test email to see how it looks
  • Update regularly - Keep your contact information current

Troubleshooting Common Issues

Changes not showing up?

Click "Save" at the bottom. Easy to forget!

Signature looks weird?

Use plain text. Fancy stuff doesn't always work.

Can't find Identities?

Check you're in Settings, not your inbox. It should be right there in the list.

Using Other Email Clients? Configure Them Too!

Here's the thing. If you use Outlook, Thunderbird, or another email program, you need to set up your identity there too.

Why? Your Roundcube settings only work in Roundcube. Each email client has its own settings, whether you're using IMAP or POP3.

The good news? It's just as easy:

In Outlook:

  • Go to File > Info > Account Settings > Account Settings
  • Select your email account and click "Change"
  • Update "Your Name" in the User Information section
  • Click Next, then Finish

In Thunderbird:

  • Right-click your account name in the folder pane
  • Select "Settings"
  • Change the "Your Name" field
  • Or use "Manage Identities" for multiple sender names

In Gmail:

  • Click the gear icon > See all settings
  • Go to "Accounts and Import" tab
  • Find "Send mail as" section
  • Click "Edit info" next to your email
  • Enter your new name and click "Save Changes"

In Apple Mail (Mac):

  • Open Mail and press Command + Comma (,)
  • Click "Accounts" and select your email account
  • Edit the "Full Name" field
  • Click Done

On iPhone/iPad Mail:

  • Go to Settings > Mail > Accounts
  • Select your email account
  • Tap your email address at the top
  • Change the "Name" field

Remember: set the same display name everywhere. Keep things consistent.
